Time Management Techniques - 3 Tips to Turn Guesstimates into Power Estimates for Planning Your Time

Time management techniques elevate your effectiveness. So you face each morning with a thorough to-do list, confident that you will master the challenges ahead. But do you often run out of time before you run out of tasks? If so, use this guide. Develop the techniques for calculating how much you can accomplish, and when.

Why does estimating time for tasks become much easier when using a chart like this? For one thing, our sense of time is highly subjective. Painstakingly hunting down computer support online can drag 20 minutes into seeming like an hour. But time for lunch with a friend flies by, until you look at your watch with a jolt.

Charting your time sharpens your estimating and scheduling skills. Try this straightforward technique.

Prepare a typical to do list for the day ahead. From that list, select:
One task that you enjoy,
One you feel neutral about, and
One you dislike.

Write them down. Next to each item or task, estimate how long you think you’ll need to finish it. After completing each activity you’ve listed, record the actual time next to the estimated time. What do you learn?

Experiment. Shuffle the time of day when you engage in these activities. Again, record the time needed to get each job done. Ask yourself:
When is the best time to tackle tasks that require creativity? Or focus?
When is the most efficient time to take on a task you dislike?
What other factors play in?

Explore your options until you pinpoint the best time to approach each project, the ideal conditions, and how much time to set aside.

Repeat Steps #1 & 2 with a new set of three tasks. Compare the results.
What happens if you start your day with a task you’ve been intimidated by?
What changes do you make to complete difficult tasks?
What patterns emerge?

Continue this exercise until you have charted each activity.

Now you can schedule with success, using realistic assessments. If unexpected events eat up a portion of most days, schedule in some buffer time, as well.

This exercise works if you work. It helps you schedule activities for times you’re best equipped to handle them. And you can now set aside the time you genuinely need, not what you think you ‘might’ need. You will be able to greet each day with a clearer sense of your capabilities and a deeper appreciation of how much you actually accomplish.

Procrastination - Your Enemy In Life

There are several peculiar characteristics for human beings which restricts him from delivering his best in his work. Procrastination is one such character that man exhibits from his child hood days. There are no concrete reasons with him to procrastinate things, but it always happens like that.

Procrastination is the postponement of things, sometimes infinitely. There are individuals who postpone their works to some other time for no reasons. There are several reasons for this strange behavior of people. One reason is the lack of confidence and it is the most important reason for that. He might fear that he won’t be able to do the work in the right way and this fear makes him extend the work till the deadline comes.

The school going children have a great tendency to postpone things in this manner. They have the character of giving lame excuses for not doing their work in time and often requests for the extension of the deadline. It is not that, they will do it in the proper manner next time, but they go for it as it can escape them from a punishment.

When they reach the professional level, they take this character along with them. But now the situation is more serious as the responsibilities are more. The result of this is that, they won’t achieve a success in their career. The fear and the thought that they won’t be able to do the work will make them postpone it endlessly. The after effect is that, they will end up in trouble when they have to answer many.

Very often, laziness can be a reason for procrastination. The hesitation to take the risk of completing a work will keep them away from doing it. The toughness of work can be another reason. When the task is too complicated, it restricts people from taking up that risk.

There are several methods to overcome procrastination. If one can understand the after effects and the seriousness of it, it is easy for them to get rid of this habit. When they get a confidence in their skills and abilities, they can surely overcome the temptation, when it comes up. Diverting the concentration to positive thoughts when it shoots up will help them to overcome this tendency.

Make Time Management Techniques Work

Make no mistake: the effect of getting to grips with time management can be considerable and varied. It can:

- Affect your efficiency, effectiveness and productivity. This alone makes your attitude to time management very important, for it affects your work day by day, hour by hour, all the time.

- Condition the pressure that goes with any job.

- Create greater positive visibility. Time management is something that will influence how you are perceived by others within the organisation. Good time management is an overriding factor that can differentiate people of otherwise equal talent and ability, making it more likely that some will succeed better in career terms than others.

Thus, although it may take some time, getting to grips with your own personal system of time management is immensely important. Time management must be seen as synonymous with self-management; it demands discipline, but discipline reinforced by habit. In other words, the good news is that it gets easier as you work at it. Good habits help ensure a wellorganised approach to the way you plan and execute your work. On the other hand, bad habits, as many of us are aware, are difficult to shift. And the changing of habits is something that may well be a necessary result of any review of how you work.

Making time management work for you is based on two key factors: how you plan your time and how you implement the detail of what you do. The first of these, which is reviewed in the early part of this book, creates an important foundation upon which you can then build and work. The second consists of a multitude of operational factors, practices, methods and tricks, all of which can individually and positively affect the way in which you work. Such factors may be absurdly simple, for example, visibly checking your watch from time to time will tend to make visitors less likely to overstay their welcome, especially if such checks are accompanied by the appropriate look of concern. Or they may demand more complexity, for example, a well-set-up filing system can save time, ensuring that you can locate papers quickly and accurately.

Other factors may be downright sneaky, like having a private signal to prompt your secretary to interrupt a meeting with news of something demanding its rapid curtailment or your prompt departure. Furthermore, there is a cumulative effect at work here. This means that the more you adopt or adapt the tricks of the trade that work for you, the more time efficient you become. This is a process that most of us can continue to add to and work on throughout our career. So, unless you are a paragon of time-efficient virtue, a review of whether you are working in the best possible way is nearly always worthwhile. Indeed, it can pay dividends to keep a regular eye on this throughout your working life. This too can become a habit.

Success Centered Time Management Versus Time Management

So what, exactly, is the difference between Success Centered Time Management and traditional time management? The best way to recognize the difference is by walking you through a couple of questions.

First, do you think your life would benefit both at work and home if you were more organized in your time? That’s the focus of time management. Not bad, if you organize the right things and consistently act on your plans.

Now, do you think your life would benefit much more if you concentrated your improvement on your behaviors, your motivation, and your focus within the time you have and then assisted that with a few organizational skills? That’s the unique and very powerful focus of Success-Centered Time Management, the key being your behaviors.

As a result of my studies conducted around the world, I’ve discovered that when people are taught time management by traditional organizational methods, 80 to 90 percent fall right back into old habits and behaviors within one month. In other words, when we’re taught a tool to save us time, such as how to use a “to do” list or a day planner, most of us will find an excuse not to use this beneficial tool within just a few weeks despite being convinced that this new tool will work and despite being motivated by a sharp trainer.
