Effective Time Management at Work

Effective Time Management at Work

Most people will tell you that they are expected to get more done each day at work than they can. Employers want top performance and they also want high production levels. That can be hard to do though with continuous interruptions. We all know there are various aspects of any job that require more time than we had anticipated allocating to them.

Time management at work is important no matter what it is that you do for a living. If you aren’t getting the most out of the time you have, then you may be coming in early, working through lunch, staying late, or taking work home with you. That can become very stressful and it can also result in you becoming burned out.

One of the problems with time management at work is that you can’t always do things your own way. There may be certain procedures that you have to follow.  However, your boss isn’t going to sit down with you each day and tell you what has to be accomplished. Effective time management at work requires you to be able to prioritize things.

Those individuals that climb the corporate ladder are confident in their leadership skills. You can be sure that they know all about effective time management as well.

One of the key ways in which you can get organized at work is to write everything done. You need to pay close attention to deadlines so you don’t miss them. Start on big projects early so you aren’t in a time crunch as that deadline approaches.

Time management at work is easy when you can glance at your calendar and see what commitments you already have. You may discover you simply have too much on our plate to take care of as well.

You should create three lists:  DO NOW, DO LATER and PERHAPS NEVER.

The DO NOW list is where you should put tasks that are due in the next week.   This is your short term list.  It is the list that you should work with day to day.

The DO LATER list is where you put tasks that are due in the next couple of months.  This is your “holding” list.  Put on this list the things that you know need to get done but don’t necessarily need to get done straight away.

The PERHAPS NEVER list is the list for all those items that are buzzing around your head but that you’ll probably never do.  Put them onto this list, just in case you get time.

You should review your lists once a week at the same time.  The first time when you set the lists up you’ll probably find it’ll take a while to get them going.  Each subsequent review, however, will be much shorter.

At the review you should take some items from the DO LATER list and add them to DO NOW.  You should also clean up the DO NOW list deleting all the done items.  Finally you should take some time to add new tasks to the three lists.

This is a short version of a much fuller system.  If you’d like to find out more, then visit my web site www.time-management-huddle.com which has a fuller description and some free planning tools.

Advantages Of Time Management

Friday 19 December 2008 @ 12:23 am
The advantages of time management include reducing stress, gaining time, reducing avoidance, while promoting reviews and eliminating cramming. Another advantage is that managing time helps us to stay motivated while we avoid procrastination.

The trick to successful time management is setting up goals that work, while having an awareness of those goals and prioritizing your list of goals. When you set up an effective time management plan, you are growing and upholding a personal commitment to yourself, with the ability to be more flexible.

When you have a great time management plan, you are giving yourself an individual chance to, to generate a timetable that works to suit your busy caseload. When you create a good plan, you will soon find time to do all the things that matter most to you in life. In addition, when you have a good time management plan, you are saving your health.

Plans have a schedule timed, which includes all the activities you are responsible to handle. Your Master Timetable should include all the most important activities you are responsible to handle. It is important that you modify this schedule according to your time changes. When you set up a Master Timetable, you will need to list the priorities first, and work your way down to the least important tasks.

It is important that you follow as you write the tasks first listed. In other words, if you state on your Master Timetable that you need to write up some documents for your business, then do this task first and proceed to the next task. Try to avoid handling multitasking at once, unless it is your job and you are sufficient, and have laid out a time management plan.

You will also need to include meals, sleep, family, friends, yourself, and other tasks if you they are a part of your time management. By setting up a Master Timetable, you can work out your time scheme by working through the list on the time chart. Try to avoid skipping a scheduled task, or procrastinating, since this will only delay your plan.

It is important to keep in mind, that time is essential. When we waste time, we are wasting money. After you have laid out a suitable Schedule Timetable, you will soon learn that your motivation has increased, while your progress is moving ahead. In addition, you will soon find that your stress level is at a normal state. When you are not focused, or do not have a time management plan, you are only hurting yourself in the long run.

Most people without a time management plan often suffer with poor health, insomnia, and other discomforting issues. Some people even find themselves in court waiting for the judge to say “You are now divorced.” So you can see that time management is important since it affects everyone around you, but most of all, it affects you.

A final tip: Exercise and eating right plays an essential role to time management, since when you feel good, you work well under a management plan.

2 Important Time Management Tips To Beat Stress

Thursday 18 December 2008 @ 2:58 am
Time management is critical to boost good organization of one’s personal utilization of schedule. Managing the early morning routine, for example, could be one way of effective time management if things are executed in a smooth and convenient manner.

The problem with people who do not know how to manage their time wisely is that they would have the propensity to wake up to an alarm clock and leap into the day. On the other hand, people who know their way to sound time management will use the first 30 minutes or hour of their day for relaxation and reflection instead of leaping into each day haphazardly. This is because they have already set some definite time for each task that will be carried out throughout the day.

Therefore, having a cup of tea in your garden, writing a journal, or listening to music is not a waste of time for a person who knows how to manage his time wisely. These activities are part of his schedule; and the way he does these things are just part of how he will be able to cope up with stress the rest of the day.

With this, one can simply surmise that time management is a good way of managing stress. Hence, people who do not know how to manage their time would most likely develop more stress than anyone else would.

Here are some tips that could help beat that stress as a result of poor time management:

1. Make a “to do” list and prioritize your goals.

People who are prone to stress are usually those who strive hard by doing things all at the same time. They think that they have to do everything at once, even if it means nothing is accomplished in the end. This is one hard example of time mismanagement.

So, in order to accomplish sound time management, it is important that you make your own “to do” list and not somebody else’s. This is because you are the only person on earth who knows what should be done first.

The point here is to allot specific timeframe for each activity and prioritize them according to your own personal main concerns. For instance, you may want to finish law school; but since you are still in your undergraduate course, you may have to concentrate first on the things that you should be doing today instead of thinking about the things that you have to do when you are already in law school.

2. Use some tools.

Effective time management does not just happen as it seems to be. Everything happens for a cause and the main reason why some people are using their time wisely is because they use some tools that will remind them and help them organize their schedule.

Hence, it would be better if you will use some tools that will help you manage your time effectively. For example, you could start using a daily planner and start dividing your daily chores. Try to allot specific time for each task and see if you can still have some extra time for relaxation at the end of the day. You can also use the study hour formula to determine the amount of time you need to get a grade of “A” in class.

These tools are built to help those who simply cannot monitor their time in the strictest sense. These tools assist people to make time management best work for them.

Indeed, nothing can be as important as time. Without time, people will live a life full of chaos and confusions, doing everything at the same time and accomplish nothing. With sound time management, everything will be in order and people will be able to live stress-free.
